Lots
Lots are the codes that separate products from the same production run, delivery, or expiration batch. In Putaway WMS, a lot is used mainly for perishable products, so receiving, stock, documents, and traceability keep the same product identity.
A lot belongs to the current account and is linked to a supplier. During receiving, Putaway WMS uses the selected supplier to show only the matching lots.
Opening the Lots Page
Section titled “Opening the Lots Page”Open Lots from the Catalog menu.
The page is available to users with the lot view permission. Creating and deleting lots use separate permissions, so a user may be able to view lots without being allowed to change them.
What the Page Shows
Section titled “What the Page Shows”The lots list shows:
- lot code;
- production date;
- expiration date;
- supplier;
- delete action, if the user has permission.
On desktop, lots are shown in a table. On mobile, the same information is shown as cards with the lot code, production date, expiration date, and supplier.
The list is paginated. By default, 15 lots are shown per page, and the user can choose 10, 15, 25, or 50 rows. The choice is saved in the browser.
Filters
Section titled “Filters”The Filters panel can be expanded or collapsed. Its state is saved in the browser.
You can filter by:

The Reset button clears the filters and reloads the list.
Creating a Lot
Section titled “Creating a Lot”To create a lot:
- Click Add lot.
- Enter the lot code.
- Choose the production date, if relevant.
- Choose the expiration date, if the lot expires.
- Choose the supplier.
- Click Add.
The lot code and supplier are required. Production and expiration dates are optional, but for perishable products it is recommended to enter the expiration date when it exists on the package or in the supplier documents.
Creation Rules
Section titled “Creation Rules”Putaway WMS validates the lot on the backend before saving:
- the lot code must be filled in;
- the supplier must exist in the current account;
- the production date must be valid and cannot be in the future;
- the expiration date is selected from the present or future in the interface;
- the same lot code cannot be saved twice for the same supplier;
- the total number of lots is limited by the client’s WMS plan.
Lots and Perishable Products
Section titled “Lots and Perishable Products”A lot does not add stock by itself. Stock appears only when the product is received, adjusted, or added through an operational workflow.
For perishable products:
- the product must be marked as perishable in Products;
- the lot must be created before receiving;
- during scanning, Putaway WMS asks for the lot;
- the backend rejects adding a perishable product if the lot is missing;
- the selected lot must belong to the receiving supplier.
If the product is both perishable and serializable, Putaway WMS requires both the lot and the serial numbers.
Using Lots in Goods Receiving
Section titled “Using Lots in Goods Receiving”In Goods Receiving, after the supplier is selected, Putaway WMS loads that supplier’s lots.
When scanning a perishable product:
- The operator scans the product barcode.
- Putaway WMS checks the product and supplier.
- If the product requires a lot, the lot selector opens.
- The operator chooses the correct lot.
- Putaway WMS adds the product to the receiving location with that lot.
The selector shows the lot code and expiration date. Expired lots are not offered for receiving.
Fast Scanning with LOT
Section titled “Fast Scanning with LOT”Putaway WMS can read the lot directly from the label when the scanned code contains the LOT: segment.
The accepted format is:
BARCODE;LOT:LOT-123
For products that also have a serial number, the format can include SN::
BARCODE;LOT:LOT-123;SN:SERIAL-1
BARCODE must be a product barcode. LOT-123 must exist as a lot for the selected supplier. If the lot is found, Putaway WMS applies it automatically. If it is not found, the lot selector opens.
Product Labels with Lots
Section titled “Product Labels with Lots”From Products, you can use the Print labels action.
For perishable products, the dialog allows:
- choosing the lot mode: without lot or with lot;
- searching the lot by code or expiration date;
- including the lot code in the QR Code or Data Matrix.
For serializable products, the same dialog allows manual serial entry or automatic serial generation. For products that are both perishable and serializable, the label can contain both LOT and SN.
How the Lot Is Kept in Stock
Section titled “How the Lot Is Kept in Stock”When a product is added to a location, Putaway WMS saves the lot on the stock line. Stock with a different lot remains separated in receiving, putaway, transfer, inventory, and traceability.
The lot is visible or used in:
- Goods Receiving;
- Goods Receipt Note;
- Putaway;
- Transfer;
- Inventory Adjustments;
- Stock;
- Stock History;
- Traceability;
- picking and packing, when the order is linked to lot-tracked stock.
In reports and investigations, the lot should be read together with the product, supplier, location, expiration date, and serial number, if one exists.
Deleting a Lot
Section titled “Deleting a Lot”A lot can be deleted from the list only by users who have the delete permission.
Putaway WMS does not allow deleting a lot if:
- the lot is linked to products in a way that makes it active;
- there is stock recorded on that lot.
If deletion is rejected, first check Stock, Traceability, and the workflows where the lot was used.
Common Situations
Section titled “Common Situations”The Perishable Product Cannot Be Received
Section titled “The Perishable Product Cannot Be Received”Check whether the product is marked as perishable, whether the selected supplier is correct, and whether the lot exists for that supplier.
The Lot Does Not Appear in Receiving
Section titled “The Lot Does Not Appear in Receiving”Receiving shows lots for the selected supplier and excludes expired lots. Check the supplier, lot code, and expiration date.
The Label with LOT Does Not Select the Lot Automatically
Section titled “The Label with LOT Does Not Select the Lot Automatically”Check the scanned format. The segment must be LOT:LOT-CODE, separated with ; from the product barcode. If the lot does not exist or belongs to another supplier, Putaway WMS asks for manual selection.
The Lot Cannot Be Deleted
Section titled “The Lot Cannot Be Deleted”The lot is used by stock or has active links. Check where the lot appears before making any correction.
Working Rules
Section titled “Working Rules”- Create the lot before receiving perishable products.
- Use the real lot code, not an invented code.
- Choose the correct supplier when creating the lot.
- Enter the expiration date when the product has a shelf life.
- Do not physically mix products with different lots without keeping them separated in Putaway WMS as well.
- For investigations, filter by lot in Traceability and check the full stock path.
