Warehouses
Warehouses is the page under Company where the company creates and manages the warehouses where the team works. A warehouse is the place for goods receiving, putaway, transfers, picking, packing, returns, stock checks, and reports.
This page creates the warehouse and keeps its identifying details. The warehouse’s working rules, locations, and people access are checked after creation in their dedicated pages.
What A Warehouse Means
Section titled “What A Warehouse Means”A warehouse is a separate working area in the company account. Each warehouse has its own locations, settings, operations, and assigned users.
Create separate warehouses when work happens in different physical spaces or when teams must work separately. Do not create separate warehouses just for racks, aisles, or small areas inside the same building. Use warehouse locations for those.
The warehouse must exist before you can create locations for it and before operators can select it for work.
Who Can See Warehouses
Section titled “Who Can See Warehouses”Users see only the warehouses they can access.
The company administrator sees the company’s warehouses. A regular user sees only the warehouses assigned to them from Company -> Users.
If a person does not see a warehouse in the warehouse selector, check whether the warehouse is assigned to that user. If the person sees the warehouse but cannot perform an action, check their permissions for that warehouse.
The manager selected on the warehouse does not automatically receive working access just because they are shown as manager. If the manager must work in operations, assign them from Company -> Users as well.
Warehouse List
Section titled “Warehouse List”The list shows the warehouses available to the signed-in user. Each card shows the warehouse name, location, and warehouse manager.
You can use:
- Search, for name, location, address, or manager;
- Country, to filter warehouses by country;
- State, to filter warehouses by area;
- View, to see details such as name, country, state, town, address, and manager;
- Edit, if you have edit permission;
- Delete, if you have delete permission.
If the list is empty, no warehouse matches the current filters or the user has no assigned warehouses. Reset the filters before deciding that the warehouse is missing.
Adding A Warehouse
Section titled “Adding A Warehouse”- Open Company -> Warehouses.
- Choose Add warehouse.
- Enter the warehouse name.
- Enter the country, state, town, and address so the warehouse is easy to identify in lists and documents.
- Choose the warehouse manager from the company’s existing users.
- Save.
The warehouse name and manager are required. The name must be unique in the company. If another warehouse already uses the same name, saving does not finish.
The number of warehouses is limited by the company’s active plan. If the plan limit has been reached, the new warehouse is not created.
After saving, the warehouse receives starting settings for picking limits, location prefixes, receiving, quarantine, returns, picking carts, and invoice printing. Company administrators and the person who created the warehouse receive access to the new warehouse. For the rest of the team, grant access from Company -> Users.
After Creation
Section titled “After Creation”A new warehouse is not ready for work just because it was saved. Before the first operations:
- Select the warehouse in the warehouse selector.
- Open Warehouse settings and check picking limits, location prefixes, receiving settings, picking carts, quarantine, returns, and invoice printing.
- Open Locations and create the working areas: receiving, storage, quarantine, returns, or picking carts, depending on the real process.
- Assign the users who must work in the warehouse.
- Check that the warehouse appears in the warehouse selector for the people who use it.
For receiving, putaway, picking, or other operations, the user needs two things: the assigned warehouse and permission for the action. If one of them is missing, the workflow will not be available or will not be able to continue.
Warehouse Manager
Section titled “Warehouse Manager”The warehouse manager is the person selected as the administrative responsible person for the warehouse. Their name appears in the warehouse list and warehouse details.
Selecting the manager does not replace access assignment. If the manager must receive goods, put products away, pick, view stock, or change settings, check in Company -> Users that they have the warehouse assigned and the required permissions.
When the manager is changed, the warehouse stays the same. Only the person displayed as manager changes.
Editing A Warehouse
Section titled “Editing A Warehouse”Editing is used for identifying details: name, country, state, town, address, and manager.
Do not use this page for the warehouse’s working rules. Limits, prefixes, and operational behavior are changed from Warehouse settings.
If you change the warehouse name, users will see the new name in the list and selector. If you change the manager, check the new person’s access separately if they must work in the warehouse.
After editing, check the list and the warehouse selector, especially if you changed the name, town, or address.
Deleting A Warehouse
Section titled “Deleting A Warehouse”Deletion is available only to users with the correct permission and is permanent.
To delete:
- Choose Delete on the warehouse.
- Type the warehouse name to confirm.
- Request the verification code.
- Enter the code received by email.
- Confirm deletion.
The code has 6 digits, is valid for 10 minutes, and can be resent after the waiting time shown on screen, normally 60 seconds.
After confirmation, the warehouse is removed from the account together with information that depends directly on it. If there is operational information that prevents deletion, the action fails and the warehouse remains unchanged.
Do not delete a warehouse used in operations without an internal check. Deletion is not a way to correct stock, locations, or documents. If the goal is only to stop one person from accessing the warehouse, change the user’s assignment in Company -> Users, not the warehouse.
Common Issues
