Billing

Billing is where you manage the paid relationship between your company and Putaway WMS: the active subscription, available credits, plan limits, saved cards, payment orders, invoices, and accepted contracts.

This page is not used for invoices issued to your customers, shipping labels, or delivery documents. It only covers the costs of your Putaway WMS account.

The page is available only to users who have access to company billing. If you do not see Billing in the Company menu, ask an administrator to check your access rights.

The main Billing page shows:

  • the current plan and its status: Trial, Active, Expired, or Cancelled;
  • the date until which the subscription is valid;
  • remaining plan credits and separately purchased add-on credits;
  • the next scheduled plan, if a change is already planned;
  • auto-renewal, when it can be used;
  • saved payment cards;
  • recent credit changes;
  • the periods for which credits were granted;
  • current usage against the limits included in the plan.

From this page you can open Subscription Plans, Buy Credits, Billing History, and Contracts.

The plan defines how many resources your account can use: warehouses, zones, aisles, bays, levels, bins, SKUs, categories, attributes, attribute values, suppliers, brands, units, handling units, lots, users, and external sales channel integrations.

When a limit is close to being reached or has already been reached, check the plan usage card. If you need more room to work, move to a larger plan. If you want a smaller plan, your current usage must first fit within that plan’s limits.

Subscription statuses mean:

  • Trial: you are using the test period and can activate a paid plan.
  • Active: the plan can be used normally.
  • Expired: the paid period has ended and the plan must be renewed, reactivated, or changed.
  • Cancelled: the subscription is no longer active.

After the Trial period or paid period ends, there may be a short grace window of up to 30 minutes during which access still works. After that window, the plan no longer allows operational WMS work.

The menus and actions used for warehouse work are no longer available: warehouses and locations, products and catalog, stock, receiving, putaway, picking, packing, transfers, adjustments, inventories, orders, customer records, suppliers, integrations, and operational reports.

The company’s business data is not deleted automatically just because the plan expired. It remains in the account, but you cannot work with it until the subscription is renewed, reactivated, or changed to an active plan.

The remaining access is the access needed to manage the relationship with Putaway WMS: the user account, company details, billing, plans, payment, billing history, invoices, and contracts. Regular users see these pages only if they already had those rights.

To resume working with operational data, go to Billing -> Subscription Plans and activate, renew, or reactivate a plan.

In Subscription Plans, choose whether you want to view monthly or yearly prices. Each plan shows its price, included credits, and main limits.

Important rules:

  • if you are in Trial, you can activate a paid plan;
  • if the subscription is expired, you can reactivate it or activate another plan;
  • when you move to a larger plan, the limits increase immediately;
  • for the current month, moving to a larger plan does not add the credit difference from the new plan;
  • moving to a smaller plan is scheduled for the next renewal and does not apply immediately;
  • moving to a smaller plan is allowed only during the last 15 days of the current period;
  • a smaller plan is blocked if your current usage is already above that plan’s limits;
  • manual renewal and switching from monthly to yearly are available only near the end of the current period;
  • a scheduled change can be cancelled before it takes effect.

If you already have a scheduled change and manually renew the current plan, you are asked to confirm because the renewal can cancel the scheduled change.

Some actions may require accepting updated terms or contracts before continuing. After acceptance, the documents appear in Contracts.

Auto-renewal can be used only when the subscription is active and at least one card is saved. Payment uses the card marked as default.

If you turn auto-renewal off, the subscription remains valid until its expiration date, but it will not renew by itself. A plan change scheduled for the next renewal can be removed when auto-renewal is turned off.

If you remove the last saved card, auto-renewal is turned off. If a plan change is scheduled, it can also be cancelled because there is no longer a payment method for renewal.

If company account deletion is already scheduled, billing and renewal actions first ask you to cancel the scheduled deletion.

Cards can be saved during payment when you choose that option. You can keep more than one card and choose which one is the default.

For each card, you see the brand, the last 4 digits, and the expiration month/year. Full card details are stored by the payment processor; Putaway WMS only displays the information needed to identify the card.

You can remove a saved card. Before removing the last card, check whether you have auto-renewal enabled or a scheduled plan change, because both depend on having a payment method.

Credits are used for actions included in your company’s plan. There are two types:

  • plan credits: included with the subscription and tied to the plan period;
  • add-on credits: purchased separately, do not expire, but can be used only while the company has an active subscription.

On the main page, you can see how many credits are available, recent credit changes, and the periods for which credits were granted.

To buy add-on credits:

  1. Open Buy Credits.
  2. Enter the number of credits you want.
  3. Check the displayed price. Prices are in EUR and do not include VAT until the payment step.
  4. Continue to the payment page.
  5. Complete payment with a saved card or a new card.

If you already have an unpaid credit order and start a new one, the old order is cancelled automatically, and payment continues for the newest order.

Purchased credits appear in the account after payment is confirmed. If payment is not completed, the order remains pending and can be retried or cancelled from Billing History.

The payment page shows the order summary, billing details, payable amount, and available payment methods.

With a saved card, payment can be confirmed directly. With a new card, you are sent to the secure payment processor page. The new card can be saved for future payments if you select the save option.

When paying for a subscription, auto-renewal can be enabled only if you use a saved card or save the new card.

An order that is already paid, expired, cancelled, or failed cannot be paid or cancelled again. In that case, return to plans or billing history and start a new order if needed.

For a move to a smaller plan, no immediate payment is made. On the payment page, you only confirm scheduling the change for the next renewal.

Company details are used on orders, invoices, and contracts: company name, tax ID or VAT number, country, state, city, address, billing email, and phone.

Before payment, check the details in Company -> Company Details. If you change them after starting an order, start the payment again so the summary uses the updated details.

For companies in Romania:

  • plan and credit prices are displayed in EUR;
  • at payment, the amount is converted to RON using the available BNR exchange rate for that day;
  • VAT is added on the payment page;
  • if the exchange rate cannot be loaded, try again later.

For companies in the European Union, outside Romania, the VAT number must be confirmed in company details. If it is not confirmed, payment is blocked and you must return to Company Details, correct or revalidate the details, then start the payment again.

Prices shown in plans and on the credits page exclude VAT. The final total is shown on the payment page.

In Billing History, you see subscription orders and credit orders that are still relevant. Each row shows the order number, date, description, amount, status, and available actions.

Common statuses are:

  • Pending: the order has not been paid yet;
  • Paid: payment was confirmed;
  • Failed: payment was not completed;
  • Expired: the order can no longer be paid.

From history, you can:

  • view order details;
  • retry payment for a pending order;
  • cancel a pending order;
  • download the invoice after it becomes available.

The invoice appears after payment is confirmed. If the download button still shows that it is processing, come back after a few moments.

The Contracts page keeps the documents accepted for subscriptions, renewals, plan changes, and credit purchases. You can see the contract number, acceptance date, person who accepted, action type, and document versions.

If a contract is still processing, wait a few moments and try downloading it again.

I cannot enable auto-renewal. Check that the subscription is active and that at least one card is saved.

I cannot move to a smaller plan. The change is allowed only near the end of the current period and only if your current usage fits within the target plan’s limits.

I cannot pay because the VAT number is not confirmed. Go to Company -> Company Details, correct or revalidate the details, then start the payment again.

The invoice does not download immediately. The invoice may need a few moments after payment is confirmed. Try again from Billing History.

Account deletion is scheduled and I cannot continue payment. Cancel the scheduled deletion first, then repeat the billing action.

Do not use Billing for:

  • payments collected from your own customers;
  • invoices for sold orders;
  • shipping labels or transport documents;
  • receiving, stock, products, or locations;
  • operational warehouse settings.
